We are looking for a Production Manager to be responsible for resource planning and project portfolio accounting of services in a multi-disciplined environment within a large digital agency. Ideally, you will have experience working in a similar environment but you must possess a strong understanding of resource planning and project accounting in a matrix organisation in the software/web development industry.

Duties and Responsibilities

Resource Planning

• coordinate the production workflow across multi-disciplined teams, plan
and allocate resources against the prioritised portfolio of projects.
• understand and monitor service/project progress, dependencies and
risks to inform resourcing decisions.
• determine manpower needed to cover production demand, liaising with
heads of department and project managers to identify and satisfy
resource requests.
• identify and initiate action to resolve/mitigate under and over
allocations, and potential bottlenecks.
• manage a limited supply of resources against a constantly changing
demand: this requires a good view of short, mid- and long-term
resource plans.
• work with the project management team to maintain an up-to-date and
accurate work plan.
• negotiate with heads of department to ensure efficient resourcing of
projects and services.
• be aware of the changing needs, priorities and customer demand to
help ensure that the resources available to do the work have the
requisite time and skills to do the work.
• understand the skills and interests of the team, and work with heads of
department to make sure that those skills are being developed to meet
both current and future needs of CTI.
• follow developments across the organisation to anticipate and prepare
for their impact on resourcing.
• understand both the strategic and tactical priorities for CTI and
communicate these clearly during the planning process.
• set realistic expectations regarding delivery dates and standards.
• apply the skills and talents of CTI’s assets to provide the most value to
the organisation.
• look to develop future capabilities and capacity, and proactively work
with the heads of department to develop skills and cohesion.

Production Accounting

• create forecast and capacity models to plan for future demand, growth
and channel shifts.
• track and report project and service revenues and costs at the portfolio
• produce and deliver management information including project and
service portfolio status,  capacity and utilisation reports.
• in conjunction with heads of department monitor team performance
including offshore teams.
• work with the project management team to improve project efficiency
and performance.

Methods & Processes

• skills analysis techniques – work with the Heads of Department and HR
to ensure the organisation has the right skills at the right time to
efficiently meets project and service requirements.
• ensuring that staff have the right training, knowledge and awareness of
the resource planning system and related processes.
• collaborate with HR to maintain standard role definitions and
competency definitions.
• Identify and evidence increasing skill set demands to better inform
recruitment decisions.

Business Improvement

• help identify improvements to the resource planning and production
• participate in project retrospectives and help ensure lessons learned
are incorporated into best practice.

Qualities & Skills

• numeracy, maths and project accounting skills
• understanding of resource planning in a matrix organisation in the
software/web development industry.
• strong communication, collaboration and influencing skills to work at all
levels to effectively set and articulate performance goals
• mindful of team dynamics, resolving issues or conflicts and supporting
team morale.
